NameChangeDesk

This Privacy Policy explains how [BUSINESS LEGAL NAME] (“NameChangeDesk”, “we”, “us”) collects, uses, stores and shares your personal data when you use namechangedesk.com or engage us for name change and documentation services. Please read it alongside our Terms of Service.

Last updated: 11 August 2026

1. Who we are

[BUSINESS LEGAL NAME], operating as NameChangeDesk, is the data fiduciary responsible for your personal data. Registered address: [REGISTERED ADDRESS]. You can reach us at help@namechangedesk.in.

2. What we collect

Because our work involves filing documents with government authorities, we necessarily handle sensitive identity documents. We collect:

  • Contact details – name, phone number, email address and postal address.
  • Identity documents – Aadhaar, PAN, passport, voter ID, driving licence, and similar government identifiers.
  • Supporting records – birth certificates, marriage certificates, marksheets, degrees, affidavits, property deeds, RC books, and Family ID (PPP) details, as relevant to your matter.
  • Case data – correspondence with us, application status, and documents we prepare on your behalf.
  • Technical data – IP address, browser type and pages visited, collected through standard web logs.

3. Why we use it

We use your personal data only to deliver the service you asked for and to meet our legal obligations. Specifically: to draft and notarise affidavits; to publish statutory newspaper notices; to file Gazette notifications; to update your name across identity and financial records; to communicate with you about your application; to take payment; and to keep records we are legally required to retain.

4. Our lawful basis

We process your data on the basis of the consent you give when you engage us, and for the performance of the contract between us. Where a law requires us to retain or disclose information, we rely on that legal obligation. You may withdraw consent at any time, though this may mean we can no longer continue an application already in progress.

5. Who we share it with

We do not sell your personal data, and we do not share it for advertising. We disclose it only where necessary to complete your work:

  • Government bodies – the Department of Publication (Gazette of India), state gazette offices, RTOs, municipal registrars and passport authorities.
  • Newspapers, for the mandatory public notice your matter requires.
  • Notaries and advocates who attest or draft documents.
  • Payment processors, who handle your transaction.
  • Our IT and hosting providers, who store data on our behalf under confidentiality obligations.
  • Law enforcement or courts, where we are legally compelled.

6. Storage and security

Your documents are stored on access-controlled systems and transmitted over encrypted connections. Access is limited to the team members handling your matter. No system is perfectly secure, but we take reasonable technical and organisational measures appropriate to the sensitivity of identity documents.

7. How long we keep it

We retain case files for as long as needed to deliver the service and afterwards only for the period required by applicable law, or to defend a legal claim. Where retention is no longer required, we delete or anonymise the data. You may ask us to delete documents earlier, and we will do so unless a legal obligation prevents it.

8. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to access a summary of the personal data we hold about you, to have inaccurate data corrected, to have data erased where retention is no longer required, to withdraw consent, and to nominate another person to exercise these rights on your behalf. To exercise any of these, email us at help@namechangedesk.in.

9. Cookies

We use essential cookies to make the site function and, where enabled, analytics cookies to understand how visitors use our pages. You can block or delete cookies through your browser settings; essential cookies are required for the site to work properly.

10. Grievance Officer

If you are unhappy with how we have handled your personal data, you may contact our Grievance Officer, [GRIEVANCE OFFICER NAME], at help@namechangedesk.in. We aim to acknowledge complaints within 24 hours and resolve them within 30 days. If you remain dissatisfied, you may escalate to the Data Protection Board of India.

11. Changes to this policy

We may update this policy as our services or the law change. The revised version will appear on this page with a new “last updated” date. Material changes will be communicated to active clients directly.

12. Contact us

Questions about this policy can be sent to help@namechangedesk.in or posted to [REGISTERED ADDRESS].
